SMS Terms & Conditions

Quick Summary
MedSpaRecord sends SMS messages on behalf of aesthetic practices to patients who have explicitly opted in. You must check the SMS consent box during booking or intake to receive messages. You can opt out at any time by replying STOP. Message and data rates may apply. This program is for appointment reminders, care instructions, and practice communications only.

1. Program Description & Participating Practices

MedSpaRecord is a healthcare technology platform that enables licensed aesthetic medicine practices to send SMS/text messages to their patients. The SMS messaging program is operated by MedSpaRecord, Inc. on behalf of each Practice.

Message types include: appointment confirmations, appointment reminders, post-visit care instructions, patient intake form links, one-time passcodes (OTP) for patient portal access, telehealth visit links, and practice updates. Marketing messages are only sent where separately and explicitly consented to.

2. How to Opt In (Call to Action)

You will only receive SMS messages from a Practice using MedSpaRecord if you have provided explicit prior written consent. Consent is obtained in one of two ways:

Online — Booking Page: When booking an appointment at medsparecord.com/book, you will see an unchecked checkbox labeled “SMS Appointment Reminders (Optional).” By actively checking this box, you agree to receive SMS messages from the Practice at the mobile number you provided. The checkbox is unchecked by default and is never required to complete a booking.

In-Person / Intake Form: When completing a digital or paper intake form, you will see the same unchecked SMS consent checkbox. By checking it and signing the form, you provide written consent to receive SMS messages.

Consent is not a condition of receiving services. You may receive full care from the Practice without consenting to SMS messages.

3. Message Frequency

Message frequency varies by Practice and depends on your appointment schedule. Typical frequency is 2–8 messages per month per active patient. You may receive more during active treatment periods or telehealth visit preparation.

4. Message & Data Rates

Message and data rates may apply. Standard SMS and data rates charged by your mobile carrier apply to all messages. MedSpaRecord does not charge separately for SMS messages.

5. How to Opt Out (STOP)

You may opt out at any time by replying STOP to any message. After opting out, you will receive a single confirmation message and no further messages will be sent.

  • Updating your preferences in the patient portal at medsparecord.com/portal
All opt-out requests are honored immediately and permanently.

7. Supported Carriers

Messages are delivered via registered A2P 10DLC infrastructure, supported by all major US carriers including AT&T, T-Mobile, Verizon, US Cellular, and others. Delivery may vary based on carrier policies.

8. A2P 10DLC Registration

All SMS campaigns sent through MedSpaRecord are registered with The Campaign Registry (TCR) under the A2P 10DLC program. Campaign use cases include: Appointment Reminders, Healthcare Notifications, and Two-Factor Authentication (OTP).

9. TCPA Compliance

MedSpaRecord and its Practice customers comply with the Telephone Consumer Protection Act (TCPA):
  • Prior express written consent is obtained before sending any SMS messages
  • Consent is documented with timestamp, IP address, and form source
  • Messages are only sent during permitted hours (8:00 AM – 9:00 PM recipient local time)
  • All opt-out requests are honored immediately and permanently
  • No marketing messages are sent to numbers on the National Do Not Call Registry

10. HIPAA & Patient Privacy

SMS messages may contain limited Protected Health Information (PHI) such as appointment details. All PHI is handled in accordance with HIPAA. Practices have executed a Business Associate Agreement (BAA) with MedSpaRecord, Inc. See our HIPAA Notice of Privacy Practices.

SMS is not a fully encrypted channel. For sensitive communications, use the secure patient portal at medsparecord.com/portal.

11. Telehealth Visit SMS Notifications

If you have scheduled a telehealth (video) visit, you may receive an SMS with a secure link to join your virtual appointment. This link is unique to your visit and expires after the appointment. You may still join your telehealth visit via the patient portal even if you opt out of SMS.

12. No PHI in Marketing Messages

Marketing SMS messages do not contain PHI and are only sent to patients who have provided separate, explicit consent for marketing communications.

13. No Sharing of Phone Numbers

MedSpaRecord does not sell, rent, or share your mobile phone number with third parties for marketing. See our Privacy Policy for full details.

14. Changes to These Terms

We may update these SMS Terms from time to time. Material changes will be communicated at least 30 days before taking effect. The current version is always available at medsparecord.com/sms-terms.
